How to manage commercial lease amendments and extensions
Preserve document history while keeping the currently controlling rent, dates, options, and obligations clear.

Commercial lease administration breaks down when the original lease is abstracted once and later documents are stored without updating the operating record.
THE DATES BEHIND EVERY AMENDMENT
Track expirations, notice deadlines, and option windows.
Enter each lease’s dates once and see every deadline sorted by days remaining. Pair it with the lease abstraction checklist when you take on a new document.
01 / 05
Treat the lease as a document chain
Keep the original lease, exhibits, commencement documents, amendments, assignments, option exercises, extensions, and side letters in chronological order. Each new document may supplement or replace only part of the prior agreement.
02 / 05
Identify what changed
For every later document, identify changes to parties, premises, term, rent, CAM, security deposit, options, responsibilities, notice addresses, and guarantees. Do not overwrite the prior value without preserving its source and effective period.
Key points
- Previous term and source
- Replacement term and source
- Effective date
- Affected tenant or premises
- Reviewer and approval date
03 / 05
Resolve conflicts explicitly
If two documents appear inconsistent, flag the field for review instead of silently choosing the newest text. Some amendments restate only a narrow clause while preserving the remainder of the original lease.
04 / 05
Update downstream workflows
Once verified, a changed term should update the rent roll, billing schedule, lease alerts, CAM rules, fee engine, and tenant record. A document archive alone does not prevent the owner from billing the obsolete amount.
05 / 05
Prepare for diligence
A clean document chain and current abstract make estoppels, refinancing, renewals, disputes, and sale preparation substantially easier. Preserve the evidence behind every material field.
