Waiting for a month-end bank statement is too late for daily rent collection. Owners need a current operating ledger that can be updated as payments arrive and reconciled to banking later.

Create the monthly charge first

Generate each tenant’s expected base rent, CAM, and other recurring charges from the verified rent schedule. Preserve one reporting period so payments and fees do not drift between months.

Record the payment state

Use clear states: unpaid, partial, paid, disputed, returned, and credited. For partial payments, record the amount and received date rather than replacing the original charge.

Assess fees only when available

The system should use the verified due date, grace period, fee formula, and any notice requirement to determine when assessment is available. The owner should still approve assessment and the accompanying tenant notice.

Key points

  • Lease rule and source
  • Available assessment date
  • Proposed amount
  • Assessed, waived, or reversed status
  • Related tenant communication

Keep waiver history

Waiving a fee should settle or adjust the ledger without erasing the fact that the fee was proposed or assessed. That history helps the owner remain consistent and answer future questions.

Reconcile to banking later

When bank activity becomes available, match deposits back to the recorded tenant payments. Differences may identify returned funds, posting errors, combined deposits, or owner contributions. The operating ledger stays current even when statement data arrives later.
