QuickBooks Online

Why connect QuickBooks?

By the time a charge, a payment, or an approved expense exists in TenantPoint, it's already tied to a real tenant, lease, property, and—for maintenance—a vendor and a work order. None of that context exists yet in QuickBooks; someone has to type it in.

TenantPoint already knows the tenant, the rent, the CAM allocation, the payment, the vendor, the property, and the work order behind every dollar. Connecting QuickBooks lets that context flow into your accounting instead of being rebuilt there by hand.

Who does what

What actually moves, and where

01

Rent & CAM

TenantPoint
Calculates what each tenant owes from the lease on file.
QuickBooks Online
Receives the invoice, ready to send or already recorded.
02

Payments

TenantPoint
Tracks the payment against the tenant's balance.
QuickBooks Online
Records the payment, applied against the matching invoice.
03

Work orders

TenantPoint
Knows which vendor did the work and why.
QuickBooks Online
Records the expense, categorized and tied to the property.
04

Property reporting

TenantPoint
Tracks the day-to-day operational picture per property.
QuickBooks Online
Keeps the formal, tax-ready books your accountant relies on.

01

One direction, on purpose

TenantPoint pushes finished, already-decided activity into QuickBooks. Beyond looking up your existing categories and accounts once during setup, it doesn't pull your accounting data in as its own record, and it never becomes a second general ledger. QuickBooks stays the accounting record of truth for your business; TenantPoint stays the operational record of truth for your properties.

That split is deliberate. If you edit a lease or a fee after an invoice has already gone to QuickBooks, TenantPoint doesn't reach back and silently change what QuickBooks already has on file—your books stay exactly as accurate as they were the day you sent them.

02

A short setup, once

Connecting QuickBooks means signing in to the QuickBooks Online account you already run, then walking through a one-time setup: which properties map to which QuickBooks Class or Location, which income and expense categories line up with your chart of accounts, and which tenants and vendors correspond to QuickBooks Customers and Vendors.

After that, you choose the cadence—invoices can generate monthly or on demand; confirmed payments and approved work-order expenses sync continuously once you turn each one on.

  • Properties map to QuickBooks Classes or Locations
  • Income and expense categories map to your chart of accounts
  • Tenants and vendors map to QuickBooks Customers and Vendors
  • You choose what syncs and when—nothing is forced on

03

When something doesn't have a clear answer

If TenantPoint can't confidently match something—an unmapped expense category, a vendor QuickBooks doesn't recognize yet, a work order with more than one vendor and no clear payer—it's held for you to resolve, never guessed at. The same goes for anything an accountant later changes directly in QuickBooks: TenantPoint flags the disagreement instead of silently overwriting either side.

Good to know

Questions owners ask about this.

Does this replace QuickBooks?

No. QuickBooks remains your general ledger and tax-ready books. TenantPoint handles the property-specific work—leases, rent, CAM, work orders, tenant communication—and can send the resulting accounting activity into the QuickBooks you already run.

Do I need a QuickBooks Online account already?

Yes. TenantPoint connects to your existing QuickBooks Online company; it doesn't include or replace QuickBooks itself.

Can QuickBooks activity change something in TenantPoint?

No. Sync only flows from TenantPoint to QuickBooks. If a synced record is later edited directly in QuickBooks, TenantPoint detects the difference and flags it for you to review—it never gets overwritten automatically in either direction.
